How to Set Up a Pop-Up Trade Show Display | Frame to Finish

Most exhibitors lose time by installing graphics before the frame is fully locked, then fighting wrinkles and misaligned seams. Whether you own an accordion-style frame or a backlit tension-fabric system, the sequence matters more than speed.

Unpack and Expand the Frame First

Lay the collapsed display on the floor with plenty of clearance around it. Unzip the carrying bag and remove the frame as one unit; keep graphic panels and hardware sorted nearby.

Expand the accordion-style frame by pulling the sections apart until the structure locks into its full width. You’ll hear or feel the locks seat. On models with sliding hubs, push each hub outward until it clicks. Do not force the frame closed later without releasing every lock first — instruction sheets warn that locked hooks and latches can damage the frame when you try to collapse it.

Two-Person Assembly for Large Systems

Bigger units change the math. One person can manage an 8-foot or 10-foot frame solo, but get help for the wide backlit models.

Attach Support Bars and Align the Graphics

With the frame locked and standing, attach the channel bars or magnetic support pieces that hold the graphic panels. On tension-fabric displays, these bars slide into fabric pockets; on older Velcro systems, they provide the hook surface.

Install graphics starting with the center panel first, then work outward to the end panels. This keeps seams aligned and prevents uneven tension across the backdrop. Begin at one top corner and secure the graphic with the Velcro or magnets, pulling gently taut as you move across, then repeat along the bottom edge in the same direction. The graphic should sit wrinkle-free with edges fully seated.

For framed photomural panels, seat each panel into its channel before moving to the next — skipping ahead leaves the final panel unable to seat properly.

Add Lighting and Accessories

LED lighting is optional but transforms the display’s impact. Basic pop-up frames accept clip-on lights at the top frame points or the “X” cross-points. Backlit SEG systems use ladder lights that hang from the top and bottom frame points; connect the barrel connectors between light sections, then plug the power driver into a wall outlet.

Add the podium or media stand last.

Before showtime, run the final checks:

• All frame locks engaged and hubs fully extended
• Graphics taut with no wrinkles or lifted corners
• Endcap Velcro or hooks free of the frame (leaving them attached during collapse causes resistance and damage)
• Power cords connected and lights tested

Common Mistakes That Ruin a Display

The most expensive error is rushing the takedown. Unlock all locks and disengage hooks before folding the frame; forcing it closed bends the hubs and cracks the locks. The second most common mistake is skipping center-first alignment, which leaves seams visibly off across the backdrop.

Endcaps are the third failure point. If you leave the endcap Velcro or hooks attached when collapsing, they catch on the frame fabric and tear it.
